Question: I cannot attach documents in BEACON
Answer: We have found some issues with the names of documents that cannot be attached and uploaded. To rectify this, we suggest you use the following file naming conventions:
•Keep the file/document name as short as possible
•Do not use spaces between words or other punctuation marks in the file/document name (i.e. “Joe’s Time Sheet” should be “joestimesheet”)
Question: I also cannot delete any timesheets or attachments, in the event that I make a mistake. When will this be fixed?
Answer: Once you’ve submitted your timesheet, you can no longer modify it.
In order to correct it, send an email to firstname.lastname@example.org requesting that your timesheet be rejected. Once that has been done, you will be able to re-access and resubmit your time.
Question: I entered my time in BEACON but it is not showing the extra hours as overtime.
Answer: You must enter all your time as “Regular” time. BEACON will automatically calculate the OT hours.
Question: I made a mistake when entering my time, and I already submitted it. How do I fix it?
Answer: Send an email to email@example.com requesting to reject your timesheet. Once that has been done, you will be able to resubmit your time.
Question: I entered my time in BEACON but there was no validation of the submission or attachment.
1. Did you click Submit?
2. Are you seeking validation on the Monthly calendar view? Your submitted timecard will not appear immediately on the Monthly calendar. It will appear after the time has been processed by the system.
Otherwise, please take a screen shot of your time entry screen and email it to BEACON@artechinfo.com.
Question: I entered my time in BEACON but it doesn’t show up in the Monthly calendar view.
Answer: Your time won’t show up in the Monthly calendar view immediately. It will appear once the time has been processed in the system.
TIP: Don’t forget to click Save every time you make a change in BEACON. And when you’re done and confident that your information is accurate, click Submit.
Question: When will I receive my BEACON UID and Password?
Answer: We have started assigning BEACON usernames and passwords. The BEACON URL is hr.artechinfo.com.
If you have not yet received your user name and password, you will be receiving it shortly.
Please be alert for an email from firstname.lastname@example.org.
Question: How will my manager access the system to approve my timecard (has any information been sent to him)? What if my manager is not able to sign my timesheet because he is on vacation or sick, will I be paid?
Answer: How your manager will receive and approve your timecard will depend on whether you utilize a VMS tool such as IQN or Fieldglass to submit your time or whether this is done manually or via an internal client system. Please review the Presentations on the Artech Circle #5 (Consultants) or #7 (Consultants using VMS tool) for specific instructions.
Your manager will have the ability to assign an alternative approver in his/her absence to ensure timesheets are approved.
Question: Was my manager and company notified of this change?
Answer: Yes, Artech’s clients, managers and those for which any specific process change is required have been informed.
